Time Sheet Users

The Time Sheet Users list (reachable from Setup) is where a Business Central Employee and Resource get linked to the identity a person signs into the web interface with. This identity is deliberately separate from a standard BC User — Time Track Central users don't need a Business Central license, so anyone who only ever touches the web interface (which is most employees) can be given access here without consuming a BC seat. Every employee who needs web-interface access needs a row here — unless Setup → Users → Automatically Create Users is enabled, in which case a row is created automatically on first sign-in instead.

This page requires a valid license to open — if your license has expired, Business Central blocks it with a message telling you to contact your administrator. This table is also what your license count is checked against, since Time Track Central licenses are per web user rather than per BC user.

Fields

Authentication EmailRequired — the email address the person signs in with. Entering an email that matches an existing Employee's Company E-Mail auto-completes the Resource No. and Employee No. fields below.
Resource No.Required — the linked Resource. Shown highlighted if the resource isn't currently active (e.g. a terminated resource still linked to a user record).
Employee No.Required — the linked Employee. Same highlighting if inactive.
User Team CodeThe user team this person belongs to, if any.
Time Sheet Admin.Grants full admin rights — can approve/reject any timesheet or absence, not just their own team's.
User Team Admin.Grants admin rights scoped to their own user team only. Only editable if the person isn't already a full Time Sheet Admin and a User Team is assigned (a full admin doesn't need the scoped version, and there's no team to scope to without one).
Work Report Admin.Only shown if the Work Reports extension is installed. Lets this person administer Work Reports — see BC: Who can administer Work Reports — without needing full Time Sheet Admin rights. Locked on automatically (and not editable) once someone is already a Time Sheet Admin, same reasoning as User Team Admin. above.
Language CodeThe person's preferred language for the web interface — see Web App: Language.
System UserRead-only.

Two further fields, Active Employee and Active Resource, are hidden — they're the computed flags driving the highlighting described above, not something you set directly.

Actions

  • Resource / Employee — jump straight to the linked Resource or Employee card.
  • Import Employees — bulk-imports active employees who have both a Company E-Mail and a Resource No. set, and aren't already in this table. Business Central shows a confirmation listing what will be imported before committing.

User Teams

User Teams (its own page, reachable from Setup or from this page) group users for approval-routing and reporting purposes — each team just has a Code and a Name. Assign a user to a team via the User Team Code field above, then optionally grant someone User Team Admin. rights scoped to that team.
