Licensing
Time Track Central licenses are sold through Microsoft AppSource on a per-user/month model, with separate plans depending on how many users you need. Choose the plan that matches your expected user count — see Changing Number of Users or Plan below if that count changes later.
After purchase, the subscription shows up in the Microsoft 365 admin center under Billing > Licenses. From there, the Install this product link installs the extension into the correct Business Central environment.
How Licenses Work
Time Track Central licenses are not linked to Business Central users — you don't assign them to anyone inside BC. Instead, they're counted against rows in the Time Sheet Users table, where a person's Entra ID (their sign-in email) is linked to a BC Resource and Employee.
This is a deliberate design, not an oversight: most employees only ever use the Time Track Central web app and never touch Business Central directly, so requiring a BC User (and its BC license cost) for every one of them would be wasteful. Instead, you're charged per Time Track Central user, and everyone else can be managed through Microsoft Entra without consuming a BC seat at all.
License Checks
Even though you won't assign these licenses to BC users, keep the number of licenses bought roughly in line with the number of rows in Time Sheet Users. This is tracked automatically on our end, and we'll reach out if there's a substantial deviation between the two — for example if Setup → Users → Automatically Create Users has been quietly growing that table past what you've licensed.
Changing Number of Users or Plan
Staying on the same edition, you can adjust your license count yourself through the Microsoft 365 admin center. Moving to a different plan tier within that edition (e.g. going from a 10–50 user plan to 50 users and beyond) means stopping the old plan's subscription and buying into the new tier instead.
Changing Editions
Switching to a different edition entirely (e.g. adding Work Reports or Expenses & Mileage coverage) is technically just stopping the current subscription, unpublishing the extension without removing data, then buying and installing the other edition. Because the extension is connected to our backend, get in touch with us first so we can walk through the change together rather than risk a gap in service.
